Summary:
This position is responsible for the coordination, implementation, marketing and promotion of the Casino Ballroom as well as all City special events, event permitting, and event sponsorship coordination.
Employee must be committed to the City's vision of creating a community where everyone participates in community experiences that engage, inspire and enrich lives.
Candidates must demonstrate a successful track record in event planning, marketing, sponsorships, as well as proven abilities in public/media relations, graphic design/publishing, staff/volunteer/contractor management, and budget accountability.
The successful candidate is at ease working in partnership with other team members in a high volume, fast-paced environment.
This position reports to the Leisure Services Director.
ESSENTIAL DUTIES AND
Responsibilities:
Key responsibilities include:
develop and execute annual special event marketing plan, including community needs assessment, manage event sponsorship sales and fulfillments; create, track and analyze advertising and promotional efforts; provide coordination and leadership for special events; manage media relations (print, television, radio, social media) and special event website pages; produce special event proposals, presentations and reports; assist with recruitment and retention of volunteers; and manage special event contracts.
Coordinates, Co-coordinates plans, and/or implements existing City-wide special events, including but not limited to:
Casino Ballroom Events, Street Painting Festival, Reggae Festival, Holiday Parade, Veterans Parade, Concerts in the Park, Family Date Night, Spring Break Beach Concert, Lake Worth Beach Bonfires, Easter Egg Hunt Celebration, 4th of July Celebration, Halloween Spooktacular and other events to be determined.
Responsible for the coordination, implementation, marketing and promotion of all Casino Building Ballroom rentals, events, and recreational programs.
Managing Special Event Temporary Permit request process and ensuring that City wide special event policies and procedures are followed.
Promotes and advertises City-wide special events through newspapers, radio commercials, television commercials, flyers, posters, and public service announcements; designs, prepares, and distributes flyers and posters for special events.
Prepares press releases and articles for local newspapers, periodicals, and journals; places display advertisements for the recreation section in the newspaper.
Assist with the design and preparation of the department's Leisure Service's Guide; distributes Leisure Services Guides to all elementary schools, community parks, libraries, visitor centers, Chambers of Commerce, and pre-schools on an on-going basis.
Coordinates staffing and volunteers for all City-wide special events.
Designs and prepares departmental informational flyers; designs and prepares reports to the City of Lake Worth Commissioners on an on-going basis.
Maintains the casino ballroom and special events budget.
Maintains an updated media list; maintains good relations with all media; maintains the departmental media scrapbook and photo scrapbook.
Supervises and manages two (2) full-time employees:
Assistant Event Coordinator and Special Events Assistant.
JOB STANDARDS:
An employee in this class is responsible for the marketing and promotion of all City activities, events, facilities and services.
Studies community needs, develops long range and short range marketing initiatives, and promotes public interest and participation in City wide activities.
The work is performed according to the practices and procedures of the Leisure Services Department and the City of Lake Worth Beach.
KNOWLEDGE, SKILLS AND ABILITIES:
Comprehensive knowledge of special event planning principles, objectives, and equipment needed in a City wide special events plan.
Considerable knowledge of community dynamics, including civic organizations, programs and special interest groups.
Ability to develop and stimulate community participation and interest in planned activities through an active marketing program.
Good knowledge of budget control and accounting procedures.
The ability to prepare comprehensive and statistical reports, and maintain detailed records is necessary.
Requires the ability to express oneself clearly and concisely, orally and in writing and to courteously interface, communicate and deal well with the general public.
Must be computer literate, including Windows 98, Word, Excel, Publisher, etc.
Must be multi-task oriented and able to work independently.
Dependability is extremely important to this position.
EQUIPMENT:
Knowledge of standard business office equipment including a computer, computer programs, copy machine, and calculator and other equipment as necessary.
EDUCATION, TRAINING AND
Experience:
This position requires a bachelor's degree in Event Planning, Marketing, Business, Recreation, or a related field; minimum of five years of implementing, coordinating, and managing special events; and proficiency with Microsoft Office.
Experience with program and event flyer creation required.
PHYSCIAL DEMANDS:
Must be able to stand and/or sit for long periods of time.
Must posses' manual dexterity sufficient to operate and ability to view a computer screen for extended periods of time.
Requires the ability to bend, stoop, and reach.
Employee may occasionally be required to lift up to 50 lbs.
Acceptable hearing and vision with or without correction is necessary.
